Documents

How the Document Library Works

The Documents section of your archive page is built with the Insert Document Library feature in OpenCities. It is not a list you type by hand. The widget is pointed at your department's archive folder in the file library, and it automatically displays every document stored in that folder.

That means the page updates itself. When you upload a PDF to the archive folder, it appears on the page. When a file is removed from the folder, it disappears from the page. You never add, edit, or delete individual document links in the page editor.

What this means for you:

  • To add a document to the page, upload the PDF to your department's archive folder in the file library. That is the whole process.
  • The document title shown on the page comes from the file's title in the file library, so give every file a clear, human-readable title when you upload it, such as "Parks Master Plan 2019 (Archived)."
  • Only put archive-eligible PDFs in this folder. Anything placed there will show on the public page, so the folder should never hold drafts, working files, or current documents.
  • Do not open Source view to change the widget code. If the list is not displaying correctly, contact the web team rather than editing it yourself.

If your department needs its documents grouped by year or by type, the file library folder can be organized with subfolders. Contact the Citywide Web Administration team to set that up before you start uploading.
